VineIQ is a vineyard mapping and record-keeping service from Vine IQ, LLC, in Napa Valley, California. It has a phone app (also on iPhone as "VineIQ") and a web dashboard. This policy covers both, plus the website vine-iq.com. It is written to be read, and it describes what the software actually does.
| Data | When | Why |
|---|---|---|
| Account details: your email address, a one-way hash of your password (never the password itself), and the organisation your account belongs to. | When you register or are added by your organisation. | To sign you in, keep your data separate from other customers', and send account email such as a password reset. |
| Location: GPS positions from your device, or from an external RTK receiver you connect, while you walk a block or record something in the field. | Only while the app is open and you are mapping or recording, and only after you allow location access. | This is how a block is mapped: the positions become the row and vine layout. Positions are stored with the block. |
| Field records you enter: vine counts, vine status, phenology, spray and fertiliser applications, irrigation, harvest and yield, scouting notes, equipment, and the names of ranches and blocks. | As you enter them. | They are the product: the records you keep and export. |
| Labor records, if your organisation uses that module: names of workers, hours, piece counts and pay-period figures that you enter. | As your organisation enters them. | To produce timesheets and payroll exports. Your organisation is responsible for its workers' information and for telling them how it is used. |
| Files you upload: NDVI imagery, existing vine maps, spreadsheets and photos. | When you upload them. | To show them on your maps and fill in your records. |
| RTK correction-service login, if you enter one (for example a CRTN or Point One username and password). | When you enter it on the receiver screen. | To open the correction stream for your receiver. Kept on the device; stored with your account only if you tick "Keep this login on my VineIQ account". |
| Technical records: the standard server logs of our hosting provider (request time, address, page), and an access log of support actions taken on accounts by VineIQ staff. | Automatically. | To keep the service running and to show what staff did and when. |
We do not collect contacts, photos other than the ones you choose to upload, advertising identifiers, or usage analytics. The apps contain no third-party analytics or advertising code.
The phone app asks for location permission the first time you map a block. It uses location only while the app is open and in use. It does not track you in the background and does not record where you go outside the mapping and recording screens. If you connect an external RTK receiver, its positions are used the same way. You can revoke location permission at any time in your phone's settings; counting and record-keeping still work without it, and only the map needs it.
Your data is stored in a database and private file storage on Cloudflare's network, in the United States. Nothing is kept on personal computers. Every connection to the apps and the dashboard is encrypted (HTTPS). A fuller description of backups and security is in our data stewardship statement, available on request.
The phone app also keeps a copy of your blocks and records on your device so that it works without a signal; that copy is removed when you sign out of the app on that device, or when the app is deleted.
No one, except the service providers below, who process data on our behalf and only to provide their service:
People in your own organisation share the organisation's data; that is what an organisation account is for. VineIQ staff open an account only to set it up, to help when asked, or to fix a problem, and every such view, and any change made in it, is logged.
We will disclose data if the law requires it, and we will tell you unless we are legally prevented from doing so.
As long as your account is active. Deleted blocks and records are hidden rather than destroyed, so they can be restored if deleted by mistake; they are purged when your account is deleted. Backup copies are kept so that the service can be restored after a failure; deleted data may remain in those copies, which are used for nothing else.
California residents: you have the right to know what personal information we hold about you, to have it deleted, and not to be discriminated against for exercising those rights. We do not sell or share personal information for advertising. Email the address below to make a request.
VineIQ is a tool for vineyard professionals and is not directed at children under 13. We do not knowingly collect information from them.
If this policy changes in a way that matters, we will note the date below and tell active accounts by email. The current version is always at vine-iq.com/privacy.
